Managing User Accounts and Permissions

This page shows you how to view, manage, and control user access for your club. You can add or remove users, change their permissions, and track their activity — all from a single page.

Understanding the User List

The user list displays all accounts that have access to your club's system. For each user, you'll see:

Full name and username (User ID)
Assigned role(s) or rights (such as Club Admin, Club Member, Records Officer)
Date the user was added to the system
Date the user last logged in

Deactivated users are shown with an Activate button instead of the usual De-Activate button.

Managing Individual Users

Each user record has four action buttons that let you manage their account:

Edit — Opens the user's profile so you can modify their details or change their access rights
Delete — Permanently removes the user's login from the system (note: this does not delete any score records or other data associated with the user)
De-Activate / Activate — Temporarily disables or re-enables the user's access without deleting their account
Re-Send Invitation — Sends the account invitation email to the user again

Filtering the User List

Use the Filter Results panel to narrow down the list of users. You can filter by:

Free-text search (searches across text fields)
Date range (applied to either Date Added or Last Login)
Member name
User ID
Rights or role

You can combine multiple filters together. Use the Apply button to activate your filters and the Clear button to remove them.

Sorting Users

The Sort Results panel lets you organize the list by up to five criteria at once. For each sort level, you can choose:

Which field to sort by: Date Added, Last Login, Member name, Rights, or User ID
Sort direction: A–Z or Z–A

Exporting User Data

Click Export Data to download the current user list (including any active filters and sort order) in either Excel or Word format.

Adjusting Page Size

Use the Page Size control to change how many user records appear on each page. When your total number of users exceeds the selected page size, pagination controls appear at the bottom of the list.

Understanding User Authorization Levels

When you edit a user, you can assign them one or more of the following authorization levels:

Access to Own Scores: The basic club member access level. Users can view their own scores and personal bests, and (depending on your settings) submit and edit their own scores. They can also view club records set by all members.
Read Only Access (Guest): Users can view club data but cannot edit, add, or delete anything.
Records Officer: Users have access to the club records system but not the club membership system.
Membership Officer: Users have access to the club membership system but not the club records.
Head Coach: Users can manage coaches — add, edit, and remove them.
Coach: Users can manage and record their own coaching activities.
Equipment Officer: Users can manage, edit, add, and remove details of equipment owned by the club and in its inventory.
Club Administrator: Users have full control of the club account and can act in all of the above roles except Guest.
