Configuring System Settings

The Settings page lets you customise how your club's records system behaves. Use these options to control member permissions, scoring rules, club record policies, coaching options, member notifications, certificates and your own notification subscriptions. Access this page at: https://archery-records.net/clubs/settings

The page is divided into collapsible sections. Click a section heading to expand it. Changes in each section are saved when you click that section's Apply button.

Club Identity

Club Name — The official name of your club or society. Enter the full, formal name as you want it to appear on reports and certificates, then click Apply.

Club Logo — Upload a logo to be displayed on pages and reports. Click Choose file, select your image, then click Upload. Images are automatically resized to a maximum of 100 × 100 pixels. Accepted formats: .jpg, .png and .gif. Maximum file size: 10 MB.

General Settings

Season and Age Settings

Preferred Naming Style for Seasons — Choose how the system names automatically created seasons: Outdoor/Indoor or Summer/Winter. This affects season labels throughout the system.

Implement Age Group Checking — Turn this on to verify that an archer's age matches the age group selected when entering scores. When enabled, the system will flag any mismatches.

Member Score Submission

Allow Score Submission — Enable this to let club members submit their own scores online. When disabled, only administrators can enter scores.

Allow Score Editing — Enable this to let club members edit or delete scores they've submitted. When disabled, members cannot modify their scores after submission.

Require Submission of Scoresheets — Turn this on to make members attach a photo of their scoresheet when adding a score. This helps verify submitted scores.

Member Submitted Scores have to be Approved — Enable this to hold member-submitted scores in an approval queue. Scores remain pending until a Records Officer approves them. Handicaps and classifications are calculated only after approval. This setting does not affect scores entered by the Records Officer.

Officers Can Approve Their Own Scores — If enabled, a Records Officer can approve their own scores. If disabled, when a Records Officer adds or edits their own scores they enter pending approval status and must be approved by someone else.

Affiliations and Qualifications

Members Must be Affiliated — Requires members to have a current affiliation to a Governing Body.

Member Submitted Affiliations Require Proof — If enabled, when a member submits or edits an affiliation, proof of that affiliation must be provided as an uploaded image or document.

Member Submitted Qualifications Require Proof — If enabled, when a member submits or edits a qualification, proof of that qualification must be provided as an uploaded image or document.

Create Subscriptions from Affiliations — If enabled, a membership subscription is created automatically from a member's affiliation.

Visibility and Contact Information

Allow Members to View All Club Scores — If enabled, members can see scores submitted by all club members in their area of the site.

Records Officers can see Member contact info — If enabled, Records Officers can view the contact details of adult members.

Records Officers can see junior Member contact info — If enabled, Records Officers can also view the contact details of junior members.

Score Settings

These options control how scores are processed and displayed. Some settings apply only to UK clubs.

UK-Specific Scoring Rules

Apply Strict Archery GB Rules — Enable this to enforce strict Archery GB regulations. When active, the system excludes unofficial rounds (such as Frostbite) from handicap and classification calculations. For indoor classifications, only Recurve and Compound bow classes will be considered. (UK only)

Allow Unofficial Score Ratings — Enable this to calculate handicaps and classifications for rounds not officially listed by Archery GB. Note: this only controls whether a rating is calculated. Whether that rating counts toward member ratings depends on the Apply Strict Archery GB Rules setting. (UK only)

Assess Equivalent Senior Ratings for All — Turn this on to calculate equivalent senior classifications (Men or Women) for archers in age-restricted groups such as juniors. (UK only)

Exclude 2020 Outdoor Season from Handicaps and Classifications — Enable this to exclude the 2020 outdoor season and carry forward 2019 values to 2021, in accordance with Archery GB's COVID-19 dispensation. Click the Manage button to exempt specific archers from this rule. (UK only)

Custom Fields

Label for User 1 Field / Label for User 2 Field — The system provides two custom fields you can use for any purpose. Enter labels (up to 128 characters) to give them meaningful names. If left blank, they will appear as "User 1" and "User 2".

Club Records Settings

These settings control how club records are identified, tracked and displayed. Some options are UK-specific.

UK Rule Compliance

Apply Archery GB Age Limits to Club Records (Rule 308) — Enable this to enforce Archery GB Rule 308 for club records, including age limits and double round qualifying requirements. This restricts new club records to the age groups specified in Rule 308. For example, a WA1440 (90m) record can only be claimed by Senior and Under 21 groups. Requires correct round lookups to function properly. (UK only)

Exclude 50+ Age Groups From Rule 308 (Senior Rounds Only) — Rule 308 limits which rounds count for UK records by age group. This can prevent 50+ archers from claiming records for certain rounds (such as WA 1440 90m or WA70m). Because Golden Records currently handles only one age group per score, this also prevents 50+ scores from qualifying for senior records. Enable this setting to exclude 50+ scores from Rule 308 checks and include them in standard senior age groups instead. You will need to manually verify records before claiming UK records. (UK only)

Disable Automatic Mapping — Enable this to turn off automatic mapping of age groups and rounds, allowing you to delete entries from Mappings (Linking) for club records. (UK only)

Age Group Handling

Assess Senior Club Records — Enable this to evaluate whether archers in age-restricted groups (including juniors) qualify for senior club records (Men or Women).

Use Age Groups for New Club Records — Enable this to track separate club records for each age group (for example, separate records for Women and Women U16). When enabled, this overrides Rule 308 application in the UK. This setting only takes effect if Assess Senior Club Records is disabled.

Score Status Rules

Accept Practice Round Scores as Club Records — Enable this to allow scores marked as practice to qualify as potential club records. When disabled, practice scores will not be checked against club records and will not appear in the New Club Records list.

Accept Club Competition Scores as Club Records — Enable this to allow scores from club-only competitions to qualify as potential club records. When disabled, scores marked as club competition will not be checked against club records and will not appear in the New Club Records list.

Maintain Separate Club and Open Records — Enable this to track two separate sets of club records based on where scores were shot. The system will maintain both Club Records (shot within the club only) and Open Records (shot in open competition). With this enabled, a higher score from a club event and a lower score from open competition can both appear as club records.

Record Management Tools

Manage Linking for Club Records — Click this button to open the linking manager. Use it to combine rounds and age groups for club records purposes. This is useful when a round name changes but remains the same round, or when you want to treat different age groups as one category. Linking allows scores to be considered together as one round or age group.

Exclude Rounds from Club Records — Click this button to choose rounds that should not be considered for club records.

Label for User 1 Field / Label for User 2 Field — The same two custom field labels described under Score Settings are also available here.

Coaching Settings

Coaches can see Member contact info — If enabled, coaches can view the contact details of adult members.

Coaches can see junior Member contact info — If enabled, coaches can also view the contact details of junior members.

Coaches Must Be DBS Checked — If enabled, coaches must have a DBS check recorded.

Coaches Must Have Valid DBS — If enabled, a coach's recorded DBS check must be current (not expired).

User Pages

This section controls which pages are visible to club members in the members' area: Calendar, Subscriptions, Affiliations, Attendance, Consents, Qualifications and Coaching.

By default all pages are visible. If your club doesn't use a feature, you can hide its page by clicking the Visible button to toggle it to Hidden. Hidden pages are not shown to club members. Click the button again to make the page visible.

Member Notifications

This section lists the notifications that can be sent to members: Score Approved, Score Not Approved, New Classification, New Handicap, New Club Record, New Achievement, Membership Renewal, Fees Statement, New Subscription, Updated Subscription and Payment Receipt.

Click the Status button next to a notification to switch it between Enabled and Disabled.

Certificates

Manage Certificates — Click this button to open the certificate manager, where you can set the default certificate style for your club.
