Importing Data from Spreadsheet Files

Use this feature to quickly add or update members, club records, score records, handicaps, and classifications by uploading data from spreadsheet files. This guide explains how to prepare your file and complete the import process.

What you can import

The import feature supports the following data types:

Members
Club Records
Score Records
Handicaps
Classifications

Preparing your file

Choose a supported file format

Your import file must be in one of these formats:

Excel workbooks (Excel 2007 or later) with a .xlsx extension
Plain text files with a .csv or .txt extension

Format plain text files correctly

If you use a plain text file, separate each field using one of these characters:

Comma
Semicolon
Tab

Important: If you use a comma or semicolon as the separator, do not use that same character anywhere inside your data values.

How to import your data

Select the type of data you want to import (for example, Members or Score Records)
Prepare your import file using the correct format — download and review the example files if needed
Click Choose File and select your prepared file
Click Upload to begin the import

Note: You can import up to 5,000 records at a time.

What happens after you upload

After you click Upload, the system adds your file to a background processing queue. This allows you to continue working in Archery Records while the import runs.

Once the import finishes, you will receive an email with a summary of the results. The email includes details of any errors that occurred during the import.

How the system handles duplicates and errors

The system automatically prevents duplicate records from being imported. If your import contains errors, correct them in your file and upload it again. Only new records that were not previously imported will be added — you will not create duplicates.
