This page explains what to do when Golden Records shows a notification that a new club record has been achieved, but the record doesn't appear in the Club Records table. This is normal behaviour — all potential records must be reviewed and approved by an administrator before they become official.

Why the Record Isn't Showing Yet

Golden Records uses a two-step approval process to protect the integrity of your club's records. When a score qualifies as a potential new record, the system notifies you immediately, but it does not automatically add the record to the official Club Records table. Instead, it creates a candidate record that waits for administrator review.

This approval step prevents incorrect scores, accidental entries, or non-qualifying performances from being permanently recorded as official club records.

How to Approve the New Record

A club administrator must review and approve the candidate record before it appears in the Club Records table. Follow these steps:

Log in to Golden Records using an administrator account
Navigate to the Club Records section
Look for any pending candidate records waiting for review
Check the score details carefully
Choose one of these actions:
- Approve the record to add it to the official Club Records table
- Reject the record if it was entered in error or doesn't meet your club's qualifying criteria

Once you approve a candidate record, it immediately appears in the Club Records table and becomes visible to all club members.

When to Reject a Candidate Record

You should reject a candidate record if:

The score was entered incorrectly or contains errors
It was shot under non-qualifying conditions (for example, during practice rather than competition)
It doesn't meet your club's specific record criteria or rules
The shooter was not eligible to set a record in that category
